This policy explains what information the Coit Dental website (coitdental.com) collects, why, how long we keep it and how you can have it deleted. It covers the website only. Your dental records and treatment information are handled under our Notice of Privacy Practices (HIPAA), which you can request at the office.

What we collect
Contact form
When you send a message: your name, email, phone number (optional), the reason and preferred time you choose, your message and your consent. To block spam we also store a one-way scrambled (hashed) version of your IP address, never the address itself. Please don’t include medical details in the form; we’ll discuss them by phone.
Comments (sign in with Google or Facebook)
You can read comments without signing in. To post one, you sign in with Google or Facebook, and that service shares your name, email address, profile photo and account ID with us. We don’t receive your password, contacts or posts, and we never post anything to your account. We store your comment, the page it is on, the time, and a hashed IP address for spam protection.
Every comment is reviewed by the practice before it appears. Published comments show only your name, profile photo, date and comment; your email address is never shown. Comments are public, so please don’t share personal health information in them.
Analytics and advertising
We use Google Analytics and Google Ads (through Google Tag Manager), which set cookies to count visits and measure our ads. You can opt out with the Google Analytics opt-out add-on and in your Google ad settings.
Embedded services
Some pages include content from other companies: videos (Wistia), patient reviews (Birdeye), maps (Google Maps), patient education videos (Dear Doctor) and online booking (AppointNow). These services may collect information under their own privacy policies when you view or use them.
How we use it
- To reply to your messages and appointment requests.
- To show, review and moderate comments, and to contact you about a comment if needed.
- To keep the website secure and free of spam.
- To understand how the website is used and improve it.
We do not sell your information.
Who we share it with
Only the service providers that run the website for us: Railway (hosting and database), Postmark (delivering form and comment emails to the practice), Cloudflare (network and security), and Google or Facebook for sign-in when you choose to use them.
How long we keep it
- Contact form messages: 1 year, then deleted.
- Comments: as long as they are published. Comments we don’t publish are deleted after 30 days.
- Your sign-in profile (name, email, photo): until you delete it (see below).
- Backup copies of the website database are kept for about 5 weeks, then deleted.
Delete your data
You can delete your comment account and all your comments at any time:
- On the website: sign in, then choose “Delete my comments and account” under any comment box. Your profile and comments are removed immediately.
- By email: write to [email protected] with the subject “Delete my data” and the name and email you used. We will delete your information within 30 days and confirm by email. The same applies to contact form messages.
- Facebook users can also remove our app under Facebook Settings → Apps and Websites, then ask us to delete the data as above.
Children
This website is not directed at children under 13. Children under 13 should not sign in or post comments.
Security
The website uses encrypted connections (HTTPS), and access to stored information is limited to the practice and the providers above.
